The proposal with the wrong customer name

Sep 20, 2026 2 min read

Friday afternoon, the proposal has to go out. The AE opens the last proposal he sent, saves it under a new name, and starts replacing. Company name, contact person, line items, prices. On page one, that works. On page seven, in the footer, the old customer is still there. So the new prospect reads, in black and white, who else you negotiate with and on what terms.

That is the harmless version. The expensive one goes like this: the template contains prices from 2024 because nobody maintained the master document, and the customer accepts. A proposal is legally binding. You now deliver at the old price, or you open the relationship with an embarrassing walk-back. Third version, even more awkward: the terms and conditions attached are two revisions old, the liability clause no longer matches what your lawyer tightened up last year, and that only surfaces when it matters.

Word templates are not a quoting process. They are a gamble with legal consequences, played by the people under the most time pressure in the company.

Yet all the data a proposal needs already lives in the CRM. Customer name, contact person, products, quantities, prices, discount tier: all maintained, all current, at least if the discount logic is sound, but that is its own topic. Document generation means: the proposal is produced from that data, with one click, from a template that is centrally versioned. If the lawyer changes the terms, one person changes the template, and from the next minute on, no proposal goes out with the old version. No AE can forget anything, because no AE retypes anything.

Technically this is not a big deal. HubSpot and Salesforce ship quoting features, PandaDoc and friends fill the gaps, and for special cases you simply build the generation yourself. The effort is measured in days, not months. Compared with a single deal that has to be delivered at old prices, it is a rounding error.

And along the way, something emerges that never exists with Word: a clean dataset. Every proposal hangs off the opportunity, with line items and totals as data instead of a PDF corpse on the shared drive. Proposal volume, conversion by product line, time to acceptance, all suddenly reportable.

Open the last proposal you sent and read only the footers. Are you sure?

Five days from now you could be holding a clear, prioritised fix-list for your revenue stack, priced in euros, not estimates.
