What access do you need?
Super Admin on your HubSpot portal, on an Operations Hub Professional or Enterprise seat, plus admin or API access to the connected CRM and tools so we can map the sync properly. We work inside your portal, so every workflow, custom-code action, and dashboard we build stays in your account from the first day.
Can't we just switch on HubSpot's native Data Sync?
You can, and the default two-way sync with no field mapping is exactly what creates the drift and duplicates above. The value is in the field-level conflict rules, the fuzzy-match dedupe, and the custom-code actions that native sync and no-code workflows cannot express. We configure everything the toggle leaves undefined.
Is it safe to auto-merge duplicates?
Yes, because we never merge blind. Dedupe runs on a scored fuzzy match with a review threshold, high-confidence pairs merge automatically and borderline pairs queue for a human. HubSpot retains merge history so a mistaken merge can be traced, and we test the rules against a sample before they run on the full database.
How long until it's live?
The audit and sync mapping take the first week. Dedupe and formatting automation land in the second, and custom-code actions plus monitoring are typically live by week two to three, depending on how many objects sync and how many integrations you run. Nothing changes your live data until the rules are tested.
Who pays for the HubSpot licenses?
You do, in your own portal, so you own every asset. Custom-code actions and programmable automation require Operations Hub Professional or Enterprise, and that subscription runs on your billing. We advise on the tier your object volume and logic actually need, so you are not paying for a seat you will not use.
What happens after handover?
Your team owns the sync rules, the workflows, the custom-code actions, the dashboards, and the runbook. Some clients keep a small monitoring retainer for sync reviews and new integrations, but nothing breaks if you run it alone. The runbook exists so it does not have to be us.
