The symptoms

Zapier scales, then quietly stops.

Zapier is brilliant at the first automation and brutal at the fiftieth. The failures never announce themselves, you find them when a deal has no CRM record and the task bill has doubled.

The zap graveyard nobody owns

Sixty-plus zaps, half switched off, three quietly duplicating the same Salesforce contact. The person who built them left, and the error notifications still route to their deactivated inbox, so nobody sees them fail.

Per-task pricing that punishes scale

Actions, searches, and Formatter steps each count as a task, so a five-action zap firing 4,000 times a month burns 20,000 tasks. Put a Filter after those steps instead of before it and you pay to process every record you then throw away. Blow past the plan cap and Zapier auto-upgrades you to the next tier, it never warns you first.

No retries, so failures drop data

A 500 from the API and the action just errors out. No retry, no queue, the lead never reaches the CRM, and the only trace is an email to whoever owns the zap. Auto Replay retries only on Zapier's paid higher tiers, and only for the error types it recognizes.

No staging, and revert can't un-corrupt data

You edit the live zap in place, with no staging copy to test a change against. Zapier's version revert rolls back the zap's config, but it can't un-write the records a wrong field mapping already corrupted, so one bad save at 5pm quietly poisons every record it touches until someone catches it days later.

The questions we get asked.

Will you break automations we rely on?

Nothing gets killed without sign-off. The audit tags every zap kill, keep, or rebuild with the reasoning, and you approve that list before we touch anything live. Orphaned zaps that error into a deactivated inbox are first to go, but only once we have confirmed nothing downstream depends on them.

What access do you need?

Owner or admin on your Zapier account, so we can see every zap, its history, and its task usage. We reconnect app authentications in your name, and need API access to your CRM for the flows that write to it. Billing stays entirely on your account, we never move it.

How long does the audit take?

The inventory and audit take the first week for a typical account of thirty to eighty zaps. Consolidation, retry logic, and alerting land over the following one to two weeks, so two to three weeks end to end. Migrating a workflow off Zapier is scoped separately, once you decide it is worth doing.

Who pays for Zapier licenses?

You do, in your own account. The Zapier subscription and any task overages stay on your billing, so you own every zap and connection. We size the plan to your real task volume, which usually means you stop paying for a tier you were auto-upgraded into by overages.

Why not just move everything off Zapier?

Zapier is excellent for quick, low-volume automations, and we keep those exactly where they are. The pain is only in the high-volume, business-critical flows where per-task pricing and thin error handling bite. We move those and leave the rest, because ripping out Zapier wholesale usually costs more than fixing it.

What happens after handover?

You own the zaps, the documentation, and the monitoring dashboard. Every flow has a named owner and a runbook for the common failures, so nothing depends on us staying. Some clients keep a light retainer for monitoring and new automations, but the account runs fine without one.
