Every stage carries written entry and exit criteria and conditional required fields on the transition, so a deal cannot reach Qualified without the fields that make Qualified mean something. Stage probabilities set from your historical conversion, not the HubSpot defaults.

What access do you need?
Super Admin on your HubSpot portal, or a seat with permissions to edit deal pipelines, properties, workflows, and sequences. We work in your portal, so nothing is rebuilt in a sandbox you then have to migrate. If you would rather stage the changes, we build in a clone pipeline and cut over once you have signed off.
How long until the forecast is trustworthy?
The audit and stage rebuild take the first two weeks. Sequences and forecast wiring land in week three. The forecast becomes trustworthy the moment the required-field gates are enforced and reps have moved a full cycle of deals through the new stages, usually within the first month of live use.
Which HubSpot licence do we need, and who pays for it?
You do, on your own billing, so you own the portal. Conditional required fields on stage transitions, sequences, and the forecast tool need Sales Hub Professional or Enterprise. We size the requirement to what you actually use and tell you plainly if a feature you are paying for is not earning its seat.
Will required fields just slow our reps down?
Required fields only fire on the stage transitions that genuinely need them, not on every save. A rep filling Amount and Close Date before a deal reaches Qualified is doing the work the forecast depends on anyway. A clean-looking board that forecasts fiction costs far more than the thirty seconds a gated transition takes.
What happens after handover?
Your team owns the stage definitions, the sequences, the validation rules, and the reporting. The runbook documents every stage's entry and exit criteria, the forecast-category mapping, and how to add a stage without breaking the reports. Some clients keep a light retainer for quarterly forecast reviews, but nothing breaks if you run it alone.
