The symptoms

The contract leaves the CRM and never fully comes back.

The signature happens in DocuSign, the deal happens in the CRM, and the gap between them is filled by a person copy-pasting fields out and retyping them back in.

Contracts built by copy-paste

Reps rebuild the same MSA in Word and paste a dozen fields, account name, seat count, price, term, straight from the CRM. Every envelope is a fresh chance to fat-finger a number, and nobody can prove which template version actually went out.

Signature status invisible on the deal

The envelope lives in DocuSign, the deal lives in the CRM. To answer 'is it signed yet' a rep logs into a second system or pings the customer, because nothing pushes the sent, delivered, and completed states back onto the opportunity.

Signed values re-keyed by hand

Once it comes back signed, someone opens the PDF and retypes the final price, start date, and term into the CRM. The tabs the customer filled in never write back, so the source of truth is a human transcribing a document at quarter-end.

No audit trail on the record

The executed PDF and its Certificate of Completion sit in a rep's inbox or a DocuSign folder, not on the account. When finance or a renewal needs the signed contract two years on, it is a search across mailboxes instead of one click.

1. Map the contract flow

We inventory every contract type you send, the fields each one pulls from CRM and CPQ, the signing order, and where the signed values need to land. What is copy-pasted today becomes a documented merge map before we touch DocuSign.

2. Wire templates and write-back

DocuSign templates generated from CRM and CPQ data, recipient routing and signing order set per contract type, and DocuSign Connect wired so sent, delivered, and completed statuses plus the signed tabs write straight back onto the record.

3. Prove it and hand over

We run live envelopes end to end, confirm the status and signed fields land on the record, and hand your team the merge map, the template library, and a runbook for adding a new contract type without us.

One template per contract type, merge fields mapped to CRM and CPQ so account, seat count, price, and term populate themselves. No copy-paste, no wrong figure, one legal-approved version of each contract.

Status synced onto the deal

DocuSign Connect pushes every envelope state, sent, delivered, completed, declined, voided, onto the opportunity in real time. 'Is it signed' becomes a field on the record, not a login to a second system.

Signed fields written back

The tabs the customer completes write back to the CRM the moment the envelope closes: final price, start date, term. Nobody retypes a signed contract, so there is zero transcription drift between the paper and the pipeline.

Audit trail on the account

The executed PDF and its Certificate of Completion attach to the record automatically, with signer identity, timestamps, and IP captured. Two years on, the contract is one click on the account, not a mailbox search.

The questions we get asked.

What access do you need?

Admin on your DocuSign account to build templates and configure Connect, API access to your CRM for the status and field write-back, and read access to your CPQ so quotes can merge into the contract. Your legal-approved template language stays exactly as it is, we only map the merge fields onto it.

How long does this take?

Two to three weeks for a standard stack. Week one maps the contract types and merge fields, week two wires the templates and DocuSign Connect write-back, and week three runs live envelopes end to end to confirm status and signed data land on the record before your team takes it over.

Who pays for the DocuSign licences?

You do, in your own DocuSign account, so you own every template and envelope. Note that Connect and API write-back need an eSignature plan that includes them, typically Business Pro or an API-enabled tier. We confirm your plan covers it on the intro call before any work starts.

We already use DocuSign, so what are we paying for?

Seats let you send documents by hand. What we build is the wiring around them: templates that merge from CRM and CPQ, DocuSign Connect pushing status back, signed tabs writing onto the record, and the audit trail attached automatically. The value is that nobody copy-pastes or re-keys a contract again, not the signature itself.

Will you change our contract language?

No. Your legal team owns the wording. We work on top of your approved templates, mapping merge fields into the existing tabs so the numbers populate from the CRM, without touching a clause. If a template is not locked yet we will flag the fields that should be merge-driven, but the language stays your call.

What happens after handover?

Your team owns the templates, the merge map, and the Connect configuration, plus a runbook for adding a new contract type on your own. Nothing depends on us to keep signing. Some clients keep a light retainer for new contract types or CRM changes, but the flow runs without it.
