Aircall
every call on the record.

Aircall is only as useful as the CRM it writes to. We wire your cloud phone into the record layer so every call logs itself, inbound reps see who is calling before they answer, and call data reports where your pipeline already lives.

Calls logging

Every inbound and outbound call matched to a CRM record by phone number, logged with duration, recording, and disposition. Nothing left stranded in Aircall's activity feed.

The symptoms

The calls happen. The record never hears about them.

Aircall rings, connects, and does its job. But if the call never reaches the CRM, your pipeline is blind to every conversation that actually moves a deal.

Calls that never touch the record

A rep dials from Aircall, talks for 12 minutes, hangs up, and the CRM shows nothing. The call sits in Aircall's activity feed, unlinked to any contact or deal, because no one wired the logging integration to match by phone number.

Inbound reps flying blind

The phone rings and the rep sees a number, not a name. No Insight Card, no open-deal context, no last-touch history, so they answer a warm opportunity like a cold stranger and read the account back to the customer who already owns it.

Voicemails that die in the app

A prospect leaves a voicemail asking for a callback. It lands in the Aircall inbox, transcribed against no record, with no task and no owner. Three days later someone finds it and the callback window is long gone.

Call data stranded from revenue data

Talk time, call volume, and missed-call rate live in Aircall's own dashboard while pipeline lives in the CRM. Nobody can answer 'how many dials per closed deal' because the two datasets never sit in the same table.

The build

A phone system is only as good as what it writes down.

1. Map the call flow

We audit every number, ring group, and IVR branch against how your CRM actually assigns ownership. Before we wire anything, we know which calls should land on which record and who owns the follow-up.

2. Wire logging & routing

Aircall's CRM integration configured for automatic call logging matched by phone number, click-to-call inside the record, Insight Cards on inbound, and IVR routing mapped to record ownership. Recordings, tags, and dispositions write back to the timeline.

3. Ship dashboards & runbook

Call analytics land in your CRM dashboards next to pipeline, and your team gets the runbook: how to add numbers, edit IVR branches, and re-map routing when the org chart changes. You own the config, not a ticket queue.

Deliverables

What you walk away with.

Not a phone that rings, but a telephony layer that writes every conversation into the record and reports on it where your revenue data already lives.

Click-to-call with automatic logging

Dial any number straight from the CRM record, and every call, inbound or outbound, logs itself against that contact and deal: duration, recording link, tags, and disposition, matched by phone number with no manual entry.

Inbound screen-pop with full context

The moment a known number rings, Aircall's Insight Card surfaces the contact, their open deals, owner, and last activity, so the rep opens with the account's history instead of 'who is this?'

Routing and IVR tied to ownership

IVR branches and ring groups mapped to your CRM ownership model, so an inbound call reaches the rep who owns the account, not a round-robin lottery. Unowned numbers route by rule, not by whoever picks up first.

Call analytics beside pipeline

Dials, connect rate, talk time, and missed-call rate piped into CRM dashboards alongside deal stages, so 'calls per closed deal' and 'missed calls by owner' are one report, not a manual export reconciliation.

Put every call on the record.

Scope depends on your CRM, number of seats, and how complex your routing gets. We quote after a short call, not from a rate card, and the integration runs in your Aircall and CRM accounts from day one.

The questions we get asked.

What access do you need?

Admin on your Aircall account and API or admin access to your CRM (HubSpot, Salesforce, Pipedrive, or similar) so we can configure the native integration and the call-logging field mapping. If you would rather not hand over standing access, we can work in a shared session, and we never need your call recordings to do the wiring.

How long until calls are logging?

Most builds run two to three weeks. Basic call logging and click-to-call are usually live in the first week; the time goes into IVR mapping, routing rules tied to ownership, and getting analytics into the CRM dashboards correctly. Simple routing is faster; multi-team IVR trees are what set the pace.

Who pays for Aircall licenses?

You do, in your own account. The Aircall subscription and per-seat licenses run on your billing, so you own every number and every recording. We size the seat count and plan tier to your team and advise on which CRM integration tier you need; the build fee is separate and fixed before we start.

We already installed the native CRM integration. Isn't that enough?

Installing it takes five minutes; making it log against the right record is the work. The native connector matches calls by phone number, so it fails on unknown numbers, shared lines, and contacts whose mobile does not match the CRM field. We configure the matching logic, field mapping, IVR-to-owner routing, and dashboard sync so the connector actually does its job instead of dumping half your calls into an 'unassigned' bucket.

Can you handle call recording consent and compliance?

We configure recording to your policy: on by default, off by default, or gated by an IVR consent message per number, and we wire the recording link into the CRM record so it stays auditable. We set the rules; your legal team sets the policy on what each region you dial into requires.

What happens after handover?

Your team owns the Aircall config, the CRM field mapping, and the runbook, including how to add numbers, edit IVR branches, and re-map routing when the org chart changes. Nothing breaks if you run it alone. Some clients keep a light retainer for routing changes and analytics tweaks, but that is a choice, not a dependency.
