Cold outbound doesn't belong in your suite
We never stop saying that your suite can do more than you think and that most point solutions can go. Today, the exception, and it’s an important one: cold email outreach never runs through HubSpot, Salesforce, or your company mail server. Not because the tools can’t do it. Because you must not want them to.
The reason is called deliverability, and the mechanics are unforgiving. Google and Microsoft score the reputation of your sending domain. Every spam flag, every delivery to a dead address, every mass email to people who don’t know you pushes that score down. Cold outreach inevitably produces all of that, even when it’s executed cleanly. Bounce rates of three, four percent are normal with purchased or enriched lists. With existing customers they’d be an alarm signal.
And now the part that hurts. Whoever sends cold outbound through the main domain burns the reputation for every email on that domain. Not just for the next sequence. For everything. The invoice from the billing system lands in spam. Your support’s reply to a paying customer lands in spam. The proposal a hot deal is waiting on lands in spam, and you wonder why it goes cold. We’ve seen a company where, after one overzealous outbound campaign through the main domain, even internal calendar invites sat in external partners’ junk folders for weeks. The damage is creeping, hard to measure, and takes months to repair.
That’s why the setup for serious outbound is always separate. Dedicated domains that resemble the main domain but share nothing with it, say firma-gmbh.de instead of firma.de, several of them. Two to three mailboxes per domain, each warmed up over weeks before the first real email goes out. Volume capped, 20 to 30 emails per mailbox per day, not 500. And sending infrastructure like Smartlead or Instantly that handles rotation, warmup, and bounce management. If a domain lands on a blacklist, it gets cut off and replaced. Your main domain never notices.
This is one of the few cases in the entire RevOps stack where the separate tool isn’t a convenience but a requirement. The separation is the point, not the feature set.
If someone at your company is currently sending sequences to cold lists straight from the CRM: check your domain reputation today. Not next week. The score you save belongs to your invoices.
